Are you ready to make a difference in a dynamic and supportive environment? CVS Group is looking for an enthusiastic Administrative Assistant to join our Estates Management Team. If you have a passion for organization, communication, and a keen eye for detail, this role might be perfect for you.

 

Summary of Role

As an Administrative Assistant, you will provide vital administrative support to our Estates Management Team. You will help with the day-to-day operations and take ownership of specific areas within the department to ensure smooth and efficient functioning.

 

Key Responsibilities and Tasks

  • Assist in maintaining and updating the in-house Estates database.
  • Facilitate effective communication between the Estates department and other teams at the Support Office.
  • Manage the Estates issue ticketing system with initial triage, response, or reallocation of tickets.
  • Support the processing of invoices and payments related to Estates matters.
  • Attend in-house meetings and take accurate notes.
  • Perform various administrative duties, offering support to the Estates team.
  • Run reports and collect data for both internal and external purposes.
  • Maintain and update spreadsheets for various property divisions.
  • Assist with post-completion processes and file management.
  • Field phone calls via the central Estates telephone line, triaging and allocating matters as needed.
  • Liaise with external contractors and assist with queries.
  • Communicate clearly and present information logically and structured.
  • Manage initial triage of the Estates central issues ticketing system, responding or reallocating tickets as needed.

 

Key Skills Required

  • Proficiency in Microsoft Office Suite.
  • Experience with Halo ticketing and Property Management tools is beneficial, but not essential.
  • Strong verbal and written communication skills.
  • Excellent organizational skills.
  • A positive, can-do attitude with good commercial awareness and attention to detail.
  • Estate Management or Legal experience is desirable but not essential.
