Role Overview: The Compliance & Systems Support Assistant plays a vital role in supporting the organisation's regulatory and operational compliance across warehouse, dispensary logistics, and environments and is responsible for ensuring the warehouse software and related systems operate effectively, reliably, and in line with business needs.

 

Hours Available: 40 hours per week: 8am to 4:30pm Monday to Friday with weekend availability

 

Key Responsibilities:

  • Support compliance with VMD, HSE, transport, environmental, and customer-specific regulations
  • Ensure proper storage, handling, distribution, and control of veterinary medicines, including controlled drugs
  • Maintain accurate records (e.g., temperature logs, batch traceability, training records, audit logs, corrective actions)
  • Assist with internal and external audits, including preparation of documentation, evidence packs, and process overviews
  • Help investigate incidents and breaches, contribute to root cause analysis, and support corrective and improvement plans
  • Maintain and update risk assessments, SOPs, RAMS, and ensure documentation reflects current practices
  • Monitor and track compliance KPIs (e.g., audit scores, incident rates, training completion, policy adherence)
  • Prepare and contribute to compliance reports, highlighting trends and improvement opportunities
  • Promote regulatory awareness, quality standards, and best practice behaviours across teams
  • Support and deliver compliance, safety, and systems training to warehouse and dispensary staff
  • Analyse system and operational data to improve warehouse efficiency, productivity, and stock control
  • Produce reports to support performance monitoring and inventory management
  • Provide first-line support and site liaison for Blue Yonder (JDA) and other logistics systems
  • Perform system maintenance, testing, monitoring, and backups to ensure performance and data integrity
  • Liaise with external support teams to resolve system issues and minimise downtime
  •  Interface with staff to identify system/process issues and maximise productivity
  • Support day-to-day system and warehouse operational activities
  • Collaborate with colleagues and external providers to support end-to-end operational processes
  • Provide administrative and operational support to Operations Manager, QAA, and Inventory functions
  • Ensure day-to-day activities meet legal, environmental, and internal compliance standards
  • Work with process owners to embed procedural updates and ensure effective implementation
  • Identify compliance risks within workflows and support mitigation actions
  • Maintain regular communication and meetings with Operations Manager/QAA

 

Qualifications and Skills:

  • JDA/WMS Systems experience
  • Good technical, analytical, and problem-solving skills.
  • Written, verbal, and interpersonal communication skills.
  • Excellent organizational, time-management skills.
  • Excellent computer skills, including Excel, Word, Power Point WMS/JDA system. 
  • Working knowledge of logistics and/or transportation operations.
  • Exposure to collaboratively working with broader business functions to deliver process efficiencies and manage costs.
