Role Overview

This role reports to HR Systems & Data Manager

This role exists to support the HR System & Data Manager and others in the team, as they are part-seconded onto a major HR system upgrade project.

In this varied role, you'll provide day to day operational ownership of the HR System (Zellis ResourceLink) and associated HR data and reporting during a period of system transformation.

You will ensure business-as-usual continuity, system stability, data integrity and ad hoc HR data reporting. Strong problem-solving skills will be crucial as you will be responsible for maintaining system integrity and troubleshooting .

You will work as part of team of HR Systems Analysts and administrators, and will provide support and guidance to the administrators in their day-to-day roles, but will not have line manager obligations. In this role you will collaborate and work closely with wider HR Admin Services and Payroll Teams.

 

Key Responsibilities

  • HR System (Zellis ResourceLink) - day to day management
    • Troubleshoot issues
    • Maintain and manage system configuration, including organisational structures, pay and job data fields, user access/permissions, approval hierarchies etc
    • Manage minor change requests/upgrades (non-project) e.g. minor configuration updates. Ensuring system changes are tested, documented and controlled
  • Ticketing System (Halo) – Support & use
    • Issues are managed via ticketing software called Halo. Act as point of contact for HR Systems related queries raised via Halo (see below)
    • Provide troubleshooting for Halo related issues, before escalation to IT or external providers
    • Help support HR Systems team optimise use of Halo
    • Implement low level change requests for HR use of the system
  • HR System queries
    • Autonomously triage and troubleshoot HR system and data related queries
    • Act as first point of escalation for system issues, and confident working autonomously liaising with HR Team, Payroll Team, Zellis Support or wider business as required
    • Assist the HR System Administrators / Analyst with complex queries
    • Work collaboratively with wider team and support to troubleshoot all issues. This role does not require any formal line-management responsibility, but does require collaborative approach to working with team in coordinating work, maintaining standards and developing those in entry level roles
  • Data and Reporting
    • HR data and management information is provided by dedicated Data & Insights Manager, which you will work closely with to ensure data integrity and accurate data is reported from the systems
    • Support with reporting requests from the wider business
    • Own data quality controls for HR Systems data, including data validation checks
    • Analyse and solve recurring data issues
    • Support with any compliance driven reporting (eg. statutory audit requests for system data)
  • Other
    • Ensure clear documentation, handovers and continuity while team members are working on upgrade project
    • If required, update system and data documentation, eg. process maps
    • If required, support with audit requests, such as providing evidence of controls, walk throughs of process maps, support with system data requests

 

 

Required Skills and Experience

  • Essential - Proven experience in an HR System Analyst role
  • Essential - Hands on experience with Zellis ResourceLink in an analyst role.
  • Strong understanding of HR data, payroll/HR processes and end-to-end employee lifecycle data
  • Confident working with large volumes of data and issues that can be expected when working in a large, multi-entity or multi-location, organisation
  • Strong analytical, problem-solving, and troubleshooting abilities
  • Strong communication skills for conveying clear, accurate information
  • Positive attitude, collaborative, with excellent customer service skills
  • Proficient in Microsoft Applications, particularly Excel
  • Experience with data cleansing, analysis, and manipulation. Knowledge of Power Automate desirable, but not essential
