An exciting opportunity has opened for a full-time (part time considered) Practice Administrator to join our friendly team at The Village Animal Hospital in Caterham!
 
This is a permanent contract role working 40 hours per week (20 hours per week if part time), with variable shifts including Saturday mornings.
 
You will be customer focused with the ability to manage and prioritise multiple tasks. Good IT skills, high attention to detail and a confident telephone manner are required. We are looking for a strong team player who is also confident working independently, who is able to provide a professional and efficient administration service to our clients, with a first class standard of customer care.
 
The main responsibilities of the role would include:
 
  • Responsible for the debt position within the practice, following the debt recovery protocol and proactively taking action to ensure the debt position is fully controlled.
  • Being the point of contact for clients who have queries regarding their invoices or debt and communicating efficiently with clients via all methods – telephone, in person and email.
  • Run weekly reports to determine Healthy Pet Club subscription cancellations/reinstatements for the site, calculating shortfalls where due and contacting clients to collect this.
  • Ensure accurate completion of all Practice administrative tasks including the processing of payments and monies, the maintenance of clients' records and cash reconciliation.
  • Ability to cover reception where needed due to annual leave or sickness. Reception duties include client interactions, booking appointments, taking client calls etc.
  • Understand and support the Practice Management team in the implementation of the current Healthy and Safety and COSHH regulations, supporting both compliance and training.
  • Provide a safe and secure environment for all employees and customers through the maintenance of Practice premises.
  • Undertaking and maintaining effective administration processes, protocols and procedures in line with CVS requirements and those of any applicable statutory or regulatory agency.
  • Ensuring, understanding and actively promoting Company led initiatives.
  • Ensure that all documentation is processed as per practice protocol and in a prompt and efficient manner.
  • Input new client registrations onto PMS.
  • Daily miscellaneous administration tasks / emails.
 
The salary for this position will be in line with National Minimum Wage.
