About the Role
We are looking for a proactive and customer-focused Receptionist & Practice Administrator to join our team on a full-time basis. This position will be based across both practice sites and will play a key role in ensuring the smooth day-to-day running of the practice while delivering an exceptional client experience.
Working 40 hours per week, Monday to Friday, with participation in a Saturday rota, you will provide reception support, assist with key administrative functions, and work closely with the Practice Director to support practice operations.
 
Key Responsibilities
  • Deliver a warm, professional, and compassionate welcome to every client and patient
  • Manage incoming telephone calls and appointment scheduling efficiently
  • Respond to client enquiries via telephone, email, and face-to-face interactions
  • Support reception shifts across both practice locations
  • Register new clients and maintain accurate patient records
  • Process payments accurately and efficiently
  • Complete daily and monthly till reconciliations
  • Support the Practice Director with end-of-month administration and processing
  • Manage outstanding debt and follow up client accounts professionally
  • Process and manage insurance claims from submission through to completion
  • Act as the practice's Client Experience Champion, identifying opportunities to enhance and improve the client journey locally.
  • Provide empathy, understanding, and support to clients during difficult situations
  • Ensure all clients receive an outstanding level of service and care at every interaction

Essential Skills & Experience
  • Previous experience in a receptionist or customer-facing administrative role
  • Excellent communication and interpersonal skills
  • Outstanding customer service experience
  • Strong organisational and time management abilities
  • Ability to manage sensitive and emotional situations with professionalism and empathy
  • Confident using Microsoft Office and database systems
  • Positive attitude with a collaborative approach to teamwork
  • Ability to work across multiple sites when required
Desirable Skills & Experience
  • Previous experience within a veterinary or healthcare environment
  • Experience processing insurance claims
  • Experience with debt management and financial reconciliations
