Key Responsibilities and Tasks include:
Welcome visitors to the office, in a friendly, helpful and professional manner ensuring an excellent first impression of the company.
Sorting and distributing post received including parcels across our 3 building site.
Booking travel and accommodation for colleagues across the business.
Booking meeting rooms, and facilitate meetings ensuring all requirements are met
Clear meeting rooms and ensure all areas are kept tidy.
Answering calls in a timely manner, remaining polite, calm and professional at all times. Assisting with general enquires, ensuring messages have been taken and passed onto the relevant team as and when necessary.
Monitor central email inboxes and assisting with general enquiries. Taking ownership of tasks from start to finish, ensuring all matters are dealt with in a timely manner liaising with the requestor and keeping them informed of progress.
Maintenance of relevant electronic files.
Provide support to other departments within the business as and when required.
Ensuring adequate supply of stationery, canteen supplies etc are available to colleagues.
Assisting with the recording and updating and storage of archiving files and records.
KeySkills and experience required:
Previous recent experience in a Receptionist position is preferred
Excellent written/verbal communication skills.
Strong administrative skills along with excellent time management.
Attention of detail.
Customer service experience.
Experience using MS Office packages including Teams, Word, Excel and Outlook.
Ability to stay calm and work effectively under pressure.
Ability to work independently with minimal supervision
Flexible can-do attitude
